Help: setting up projects, inviting your team and delivering client sign-off
Everything you need to run a deployment in PredictiveDeployment — from your first project to client sign-off.
Getting started
We set up your firm for a guided 14-day pilot. Firm owners and admins then see a Get started checklist on the workspace home. It ticks itself off as you go:
- Create your first project — use New project in the project switcher or on the Team page. You choose the client, the project name and which of your firm's modules it uses.
- Invite your Deployment Team from the Team page.
- Invite your systems integrator and client to the project.
- Assign or answer the first section of the questionnaire.
- Export a status report to share progress.
Invited integrators and clients see a short welcome the first time they open a project, explaining who invited them and what they can do.
Roles
Each person on a project has one project role. What each role can see and do:
| What | Deployment Team | Systems Integrator | Client |
|---|---|---|---|
| Pre-Sales, Questionnaire, Templates & Mapping, Activity | Yes | Yes | Yes |
| Answer questions, set owner, due date and status | Yes | Yes | Yes |
| Mark an answer Approved | Yes | Yes | No |
| Team Notes and AI Insights on each question | Yes | Yes | No |
| Internal comments (hidden from clients) | Read and write | Read and write | Never shown |
| Reporting, Deployment Form, Workflow Insights | Yes | Yes | No |
| Client Records | All records | No | Their own record |
| Reset a questionnaire phase | Yes | Yes | No |
| Export with internal notes | Optional | Optional | No — client-ready copy only |
| Counts as a practitioner seat | Yes | No | No |
Separately, people in your firm are owners, admins or members. Owners and admins create, rename and archive projects and manage the team; members can view the Team page. Only an owner can make someone else an owner, and a firm always keeps at least one owner. Integrators and clients are never firm members — they only see the projects they're invited to.
Inviting people
- Open Team from your account menu. Invite firm members (member or admin), or use Add person on a project to invite someone as Deployment Team, Systems Integrator or Client and choose which modules they use.
- Each person gets one email with a link to sign in. New people get an account created for them; people who already have one just sign in. They don't need to wait for approval.
- Pending invites can be resent or revoked. Revoking removes the access that invite granted.
- You can send up to 50 invites an hour. Going over your practitioner seats shows a warning but never blocks an invite — contact us to add seats.
Questionnaires
- Owners, due dates and status. Every question can have an owner (anyone on the project, including clients), a due date and a status: Open, In progress, Answered or Approved. A question past its due date that isn't Answered or Approved shows a red Overdue tag. You can assign a question before it has an answer.
- Filters. The sidebar filters to My items, Overdue, Unanswered or a specific owner, and shows how many questions are answered in each section.
- Comments and @mentions. Open the comments under any question. Type @ to mention someone on the project. Deployment Team and integrators can mark a comment Internal — hidden from client (on by default for them); clients never see internal comments.
- Notifications. The bell shows when you're mentioned, assigned a question, someone comments on a question you own, or you're added to a project. Mentions and assignments also email you — at most one email per project every 10 minutes, with anything else grouped into the next one.
- Daily reminder. At 12:00 UTC, people with items due in the next 3 days or overdue get one “Due soon & overdue” email. Turn emails off any time under Notification settings in your account menu.
- Activity. The Activity tab lists the latest changes on the project. Clients only see entries that aren't internal.
Exporting and client sign-off
- Use Export on the questionnaire for Print / Save as PDF or Download Excel, for one module or all of them. Both include each question's answer, owner, status and due date.
- The print view is laid out for Letter or A4, starts each section on a new page, and ends with a Sign-off block for the client and the Deployment Team (name, title, signature, date). In the print dialog choose “Save as PDF” to keep a copy.
- Exports are client-ready by default. Deployment Team and integrators can tick Include internal notes; clients never get internal notes. Internal comments and AI insights are never exported.
- The Status report (in the Export menu, the project bar and the Activity tab) shows progress by section, overdue items grouped by owner, open items, and the last 14 days of activity.
AI features
- AI can draft an answer for a question from the client response and team notes, summarise workflow insights, answer questions about your project data, coach change initiatives, build custom modules from a spreadsheet and research a deployment.
- AI is available to approved accounts only, and each person can make up to 60 AI requests an hour.
- AI insights are internal — clients don't see them and they're never exported.
- Always review AI output before relying on it. It can be incomplete or wrong; treat it as a first draft for your team to check.
Security and privacy
Access is enforced in the database for every project: people only see projects they're on, and internal notes and comments are filtered out for clients before they ever leave the server. Read more on our Security page and in our Privacy Policy.
